Every subscription, what it costs, and when it charges
Add the streaming services, apps, cloud storage, the gym and the phone plan once, with the price and a charge day. Octoolo adds them up per month and per year, lists the charges coming in the next 30 days, and reminds you before each one, so a trial does not turn into a paid year by surprise.
How to track your subscriptions
- 1
Open the subscription tracker
Open Octoolo's Productivity app and pick Subscription tracker under Money, then press Add a subscription.
- 2
Name it and price it
Type the Name; suggestions cover about 47 common services such as Netflix, Spotify, Microsoft 365 or ChatGPT Plus, and picking one fills in its category, never its price. Enter the Price, the Currency and how often it is Charged every: so many weeks, months or years.
- 3
Give it a charge day
Enter the last charge day or the next one. Octoolo works out the following ones and shows the Next charge under the field. For a trial, turn on It is a free trial and enter the day it ends.
- 4
Choose the reminder
Set Remind me to On the day, 1, 2 or 3 days before, A week before, or Never, then press Save.
- 5
Keep it current
When you cancel a service, open it and set Status to Cancelled. It moves out of the totals and into what cancelling saves you.
How the totals are worked out
At the top, Octoolo shows what your active subscriptions cost a month, on average, and a year, how many are active, and, once you have cancelled some, what that saves you a month. Different billing rhythms are turned into one monthly figure like this:
| Charged | A month on average | Example |
|---|---|---|
| Every month | The price | 15.49 a month stays 15.49 |
| Every year | The price ÷ 12 | 119.88 a year is 9.99 a month |
| Every week | The price × 52 ÷ 12 | 5.99 a week is 25.96 a month |
| Every 3 months | The price ÷ 3 | 29.97 a quarter is 9.99 a month |
The year is the monthly average × 12. Prices in different currencies are never converted: Octoolo has no exchange rates, so it adds up each currency on its own and shows them side by side, such as $41.47 + €9.99. Where it goes splits the monthly spend by category, out of 13 from Video and TV to Utilities and bills. With several currencies, it covers the one you spend most in.
Trials and renewal reminders
Turn on It is a free trial and enter the day the trial ends: the first charge is expected on that day, and the list of Charges in the next 30 days labels it “Free trial ends: first charge”. Set Remind me a few days before, so you have time to decide.
Reminders come at 9:00 on the day you chose, as a Windows notification that says the price and to cancel before then if you no longer need it. For a trial it says that the trial ends. Like every reminder in Octoolo, it rings while Octoolo runs, also with its window closed, and not while the PC is asleep or off; let Octoolo start with Windows so the 9:00 reminder finds it running.
Use Where to manage it to keep the page where you cancel, such as netflix.com/account, and the Note for things like “shared with family” or “price goes up in March”.
What it does not do
- It does not connect to your bank or read statements. You type subscriptions in yourself, which also means no account details leave your PC.
- It does not cancel anything. It tells you when a charge is coming; cancelling happens on the service's own site.
- It does not convert currencies. Totals stay per currency.
- It does not store card numbers. Paid with takes a name only, such as PayPal or a card's nickname. Never type a card number there.
Everything is kept in Octoolo's data folder on this PC. If you are tidying up, the account manager in the Passwords app keeps track of the accounts you mean to close.
Questions, answered
Does it connect to my bank account?
No. You add each subscription yourself; Octoolo never reads bank or card data.
Can it cancel subscriptions for me?
No. Save the service's account page in Where to manage it and cancel there, then set Status to Cancelled.
What if I pay in different currencies?
Each currency is added up on its own and shown side by side. There are no exchange rates, so nothing is converted.
When does the renewal reminder come?
At 9:00 on the day you chose (on the day, or 1, 2, 3 or 7 days before), as a Windows notification, while Octoolo runs.
What is the difference between Paused and Cancelled?
Neither counts in the totals or the coming charges. Cancelled ones also count toward what cancelling saves you a month; use Paused for a service on hold that you mean to restart.
Is my card number stored?
No. There is no field for it; Paid with takes a name such as PayPal.
